Qualifications for all positions include the ability to work as a team member within this department AND all other departments, reliable transportation, valid driver’s license with good record, working outdoors in all kinds of weather conditions, walking, sitting or standing for extended periods of time, including pushing, pulling, climbing, bending, or lifting up to 50 pounds. Some positions may require lifting more than 50 pounds. While an individual may be assigned to this role, situations may arise which would REQUIRE assistance in other areas or departments.

Job Summary:

Lakewood Camping Resort is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to join our team. The ideal candidate will support day-to-day administrative operations, ensuring the smooth functioning of the resort. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  1. Administrative Support:
    • Provide administrative support to management and staff, including scheduling meetings, managing calendars, and coordinating appointments.
    • Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate department or person.
    • Prepare and process various documents such as reports, memos, and guest communications.
  2. Office Management:
    • Maintain department office supplies and equipment inventory, to ensure continued operations.
    • Coordinate resort events and meetings, including room setup, materials preparation, and catering arrangements.
    • Maintain filing systems, both physical and digital, ensuring efficient document storage and retrieval.
  3. Customer Service Support:
    • Assist in responding to guest inquiries, addressing concerns, and directing them to the appropriate department or personnel.
    • Assist with reservation and booking management as needed.
    • Foster a positive and professional environment for guests, clients, and team members.
    • Maintain guest satisfaction through timely and effective communication.
  4. Data Entry & Recordkeeping:
    • Accurately input, update, and maintain records in databases or spreadsheets, including staff rosters, guest information, and vendor records.
    • Attend meetings and take detailed, accurate notes.
    • Prepare and distribute meeting minutes, ensuring clarity on action items, decisions, and deadlines.
    • Follow up on action items and ensure they are communicated to the appropriate parties.
    • Maintain and organize records, files, and databases in both digital and physical formats.
  5. Communication:
    • Assist in drafting and distributing internal communications, such as newsletters, memos, and updates.
    • Ensure clear communication between departments, management, and staff.
    • Assist with creation and distribution of internal newsletters, updates, and communications.
    • Draft and circulate memos or announcements to relevant teams and departments.
    • Ensure content is timely, relevant, and aligned with company objectives.
    • Prepare regular updates and reports for the Board of Directors.
  1. Additional Responsibilities:
    • Assist in special projects or tasks as assigned by the General Manager or Business Operations Manager.
    • Maintain confidentiality and discretion with sensitive information.
    • Assist with planning and coordinating team building or company-wide events.
